The Foundation is seeking a full-time Program Associate who will be primarily responsible for supporting the Foundation's programs and special projects, managing GWCF's nonprofit and grants database, and contributing to the smooth and efficient operation of the office.

Job Responsibilities

Special Projects:
Support Program Officers in the development and implementation of the Foundation's projects, including but not limited to: Leadership Worcester, Nonprofit Support Center, Youth for Community Improvement, Early Childhood Initiative and Creative Worcester.

Manage logistics related to programming including:

  • Preparing materials, handling invoices, managing event logistics (registration, catering, room set up, etc.)
  • Track data and evaluations of each program and prepare reports as needed
  • Update and keep accurate records of participation and contact notes in database
  • Provide back up support to Program Officer on program days as needed
  • Attend committee meetings, when appropriate

Grants Support:

  • Maintain grant flow administration including data entry, processing grant applications, researching new applicants, drafting and mail merging correspondence with grantees, and managing follow up reporting
  • Staff small volunteer committees for donor advised and field of interest grant cycles. Duties include grant processing, AND managing committee review process
  • Support the scheduling and administration of grantee site visits
  • Manage reports and data analysis on grant cycles and trends

Administrative Support:

  • Perform general office duties as needed
  • Serve as a backup to the administrative assistant (Sort and distribute mail, answer calls, cover front desk, room set up, logistics for meetings)
  • Create and maintain accurate profiles in the customer relationship management (CRM) database
  • Coordinate staff conference registrations and travel arrangements

Qualifications and Skills

  • College degree required
  • Minimum of two years of prior administrative experience in busy, professional office setting
  • Ability to communicate (verbal and written) in a professional manner
  • Demonstrated ability to work as part of a team in a collaborative manner
  • Demonstrated experience in handling multiple projects and tasks
  • High level of proficiency in Microsoft Office products (Outlook, Word, Excel)
  • High level of proficiency in database maintenance
